Creating your Service
How do I create a Printing Service?
Go to the Solutions>Hotels page and click the Get Started Now button, then follow the instructions. Complete instructions are available in the Hotel Guest Printing Service Quick Guide (PDF).
Is a Printing Service the same as Print Delivery Station?
No. The Printing Service is used to submit print jobs via a web browser. The PDS is used to release print jobs to printers in a secure way.
How do I set up PrinterOn to work with two computers in my business center?
Install the PDS desktop icon on the second computer only. See step 6, page 7 of the Hotel Guest Printing Service Quick Guide (PDF)
What file formats does the Guest Printing Service support?
The service supports over 100 file types. Formats include:
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
- Microsoft Visio
- Adobe PDF
- TIFF
- Fax

How to set my Service offline so nobody can use it?
Go to your service management page at www.printeron.net (click the Manage my Service link on the home page). On your management page, under your service, click "Set Offline". This will present your guests with a web page explaining that your service is temporarily unavailable. You may customize this page by editing your service web pages.

How do I get Guest Printing marketing material for use in my hotel?
The Guest Printing marketing literature is customized with your hotel logo and brand colors, as well as your printing service's web address. It contains guest instructions for printing email messages and attachments from wireless handheld devices to your hotel printer. It also provides instructions for printing from notebooks.
Along with the Guest Printing Instruction Sheet, the package contains several optional documents that can be used in various locations at your property, such as:
- Tentcard
- Keycard Survey
- Display Sign
- Advertisement
To download your Literature:

Using your Administrator credentials, Log in to your Management page.

On the Management page, click the <Get Guest Awareness Kit> link in the box summary of your Service.

On the Literature page, select the document you would like to print from the list and the screen will update to provide a brief description of the document. Be sure to select the documents that cater to your particular set up (for example, for business center or front desk printing, for Print Valet release or Auto Release).
- To obtain the Guest Printing Instruction Sheet, select 'Instructions for business center printing'.
- If you have a Print Valet print release keypad in your business center, select 'Instructions for business center printing using Print Valet.'

When you have selected a document, click <OK>.
You will be prompted to either open the PDF file or save it on your computer. To preview the document on screen, click <Open>. To save the document on your computer, click <Save>.
Printing your Literature
Once saved, the PDF file is 'print-ready' and can be taken to your local print shop for printing. The print shop will provide you with various options for printing, including what type of paper you would like the literature printed on, whether you want the literature laminated for protection, and what quantity you would like printed.

Setting up Print Delivery Station
How do I install Print Delivery Station?
To download and install PDS and additional print delivery components such as the desktop shortcut and Print Valet software (for job release via external keypad), you can either log in and go to your Management page, or go directly to the PDS Download page.
The hard drive was replaced on the computer running PDS. How do I get PrinterOn working again?
Follow the instructions on pages 6-12 of the Hotel Guest Printing Service Quick Guide (PDF).
How do I access the Print Delivery Station?
Login to the Administrator account, click Start>Programs>Print Delivery Station, then double-click the PDS icon in the system tray.
How do I install the PDS Desktop Icon?

Why doesn't the PDS Desktop Icon appear?
Users must completely Log off an account and then log in again to see the desktop icon. Switching users will cause the desktop icon to disappear.

Using Print Delivery Station to release print jobs
How do I access print jobs?
From the PDS computer, type one of the following in the address line of your Internet
browser:
- http://127.0.0.1:8181
- http://localhost:8181
- http://dns.name:8181 (where dns.name is substituted for the actual dns name for
your computer on the network)
Administrators may also open the Queue Monitor directly, by choosing Start>Programs>Print Delivery Station. Then double clicking on Print Delivery Station Icon in the System tray (bottom right corner of screen). When the GUI appears, click on the Monitor button, then select print job to release or delete.
How do I restart PDS if it appears to have stopped unexpectedly?
Open the PDS console (Start>Programs>Print Delivery Station) on the computer where PDS is installed, then check the Start button.
If the application does not start, reboot the computer. If it still does not start, contact Customer Support.

What is the difference between an Administrator and an Operator?
Operators and Administrators have the same privileges and can review and manually print, pause and delete print jobs for all of the printers attached to PDS.
Can I add multiple Administrators and Operators for PDS?
Yes. To add new administrators or operators select the Users tab under Advanced settings of the PDS Settings window (Start>Programs>Print Delivery Station>Settings>Advanced>Users).

If a user is unable to release his print job, can I release it for him?
As an administrator/operator, you can use one of the following pieces of information to release a print job for a user:
- Email address (entered when printing)
- Other user information (entered when printing)
- Print job reference number (displayed after printing)
For security reasons the user should provide one of these to the PDS administrator/operator to verify that the user is responsible for the print job. (For releasing print jobs see, How do I access print jobs?)

How do I know PDS is running?
To check if PDS is running, open the PDS console (Start>Programs>Print Delivery Station). "Start" should be selected and the lines in the graphic should be animated. If the lines are flat, the service is stopped and must be restarted.
How do I delete a print job?
Only Administrators and Operators of the PDS can delete print jobs. To delete a print job, log in as an Operator to the PDS Privacy Release web pages. Then select the print job to be deleted by placing a check mark next to it, and press the delete button. (For releasing print jobs see, How do I access print jobs?)
You can also use the PDS Queue Monitor to delete print jobs (Start>Programs>Print Delivery Station>Monitor).
How long do print jobs sit in the queue?
This can range from 1 to 168 hours, and is configurable by the Administrator of PDS.
You can change the Purge Abandoned job interval setting in the Processing tab under Advanced Settings (Start>Programs>Print Delivery Station>Settings>Advanced>Processing).

If a print job has been sitting in the queue longer than the purge time interval can I still print the document?
No. The job will need to be re-submitted. See How long do print jobs sit in the queue?
How do I access the PDS from a different computer on the network?
In the address line of Internet Explorer, enter the IP address of the computer, which has the PDS installed. For example http://192.168.0.21:8181 (8181 is the port number which is used to communicate with the PDS).
What is the difference between Manual Mode and Automatic Mode within the Print Queue Manager window?
The Print Mode determines how PDS handles print jobs.
- In Manual Mode (the default), print jobs are spooled and must be released by a user or administrator.
- In Automatic Mode, print jobs are printed as soon as they arrive*. Automatic mode is not recommended for public environments, since this may breach a user's privacy if their document is retrieved by someone else.
* For Printers set with a set Privacy Mode (other than None), print jobs are held even in Automatic Mode. A user or administrator with the required credentials must release them. For details, see the Print Delivery Station Quick Guide (PDF).

How do I prevent users from making changes to the PDS settings if it is installed on a computer they have access to?
The easiest way to solve this problem is to enable the GUI password on the Security tab found in the Advanced Settings of PDS (Start>Programs>Print Delivery Station>Settings>Advanced>Security).
